Audio & Other Recordings

An audio recording will be made of your presentation for sale as a service of the conference as provided by the UW&GS contractor. This audio recording offers industry members an opportunity to maintain a complete archive of our technical presentations. The UW&GS may also authorize media representatives to conduct brief audio or video recordings of portions of our sessions. Only the UW&GS may authorize audio or video recordings of any presentation.

Code of Conduct

UW&GS values the participation of all those who attend our conference. UW&GS is dedicated to providing a safe, hospitable, and productive environment for everyone attending our conference, regardless of ethnicity, religion, disability, physical appearance, gender, or sexual orientation. Accordingly, UW&GS prohibits intimidating, threatening, or harassing conduct during our conference and all other UW&GS sponsored activities. This policy applies to speakers, staff, venue staff, service providers, exhibitors, volunteers and attendees. Conference participants, in whatever capacity, violating these rules may be expelled from the conference, at the sole discretion of UW&GS leadership.

Harassment of UW&GS participants will not be tolerated. Examples of harassment include offensive gestures or verbal comments related to ethnicity, religion, disability, physical appearance, gender, or sexual orientation in public spaces, deliberate intimidation, stalking, harassing photography or recording, inappropriate use of nudity and/or sexual images in public spaces or in presentations, sustained disruption of talks or other events and inappropriate physical contact. Participants asked to stop any harassing or unwanted behavior are expected to comply immediately.

If a participant or exhibitor engages in harassing behavior, UW&GS leadership, in their sole discretion, reserves the right to take appropriate action, ranging from a simple warning to the offender to expulsion from the event without warning or refund. The UW&GS LLC Managing Committee further reserves the right to prohibit attendance at any future events and conferences. If you are being harassed or notice that someone else is being harassed, please do not hesitate to contact UW&GS staff for assistance. UW&GS staff can be identified by the STAFF badges worn by all UW&GS staff. You may also ask for a UW&GS staff member at any of the registration counters. Anyone experiencing or witnessing behavior that constitutes an immediate or serious threat to public safety is advised to locate a house phone and ask for security or call 911.

Copyright and Music License Disclaimer

All copyrighted or other legally protected material including images must be acknowledged and with permission obtained in advance as required by law and it is the speaker’s sole responsibility to do so. This pertains to all forms of media (print, audio, video, etc.). No music may be included in any presentation format as the UW&GS does not pay the music licensing fees that would be required. The UW&GS will not assume liability for any required copyright or legal reproduction acknowledgments that are disregarded. For your protection and that of the UW&GS, you are expected to comply with all copyright and other related laws as a condition of speaking.

If you obtain permission for any reproduction used in your presentation, you must provide a copy of the permission granted to the UW&GS well in advance of the conference dates. Material (including images) obtained on the Internet does not exclude necessity to obtain permission from the author to use it. Internet sources do not automatically constitute open public access for usage. The UW&GS reserves the right to cease a slide show or other presentation component that is identified as violating these requirements and with associated liabilities.

Exclusivity

To enhance the marketing of our program and to avoid redundant presentations to similar audiences, speakers are expected to make a presentation to UW&GS that is unique to the Symposium and to avoid offering the exact presentation to any industry conference or seminar thirty days prior to the Symposium. Statistical or reports of data are excepted. This includes reproduction of your presentation for electronic or printed distribution. Payment of reimbursable benefits is conditional upon speaker’s performance of speech as agreed to.

Promotion of Product or Service (including handouts)

It is a policy of the UW&GS, that all speakers or moderators participating in the program present information and supporting visual aids that are in no way a marketing or promotional presentation of any product or service that serves the interest or betterment of the speaker or his or her affiliates. Speaker further understands that each session moderator has been instructed to end the particular presentation if this policy is disregarded. No handouts will be placed in a session room unless pre-authorized by a UW&GS, LLC member.

Responsibility for Statements, Advice and/or Opinions

The UW&GS is not responsible for statements, advice or opinions given by speakers and/or contained in session materials. Any such statements, advice or opinions solely represent the views of the authors, program speakers or the persons to whom they are credited, are not statements, advice or opinions of the UW&GS and are not in any way binding on the UW&GS. Each author and/or speaker is solely liable and responsible for any such statements, advice or opinions.
